This manual is made available to assist people who wish to request access to records held by Whe2 in terms of the Promotion of Access to Information Act, 2 of 2000 (PAIA), as amended.
It should be read together with Whe2's Privacy Policy and any other legal notices published by Whe2.

4. Guide on how to use PAIA
The Information Regulator has published a guide on how to exercise rights under PAIA. If you need help understanding the process, you can consult the Information Regulator's website:
5. Records available without a formal request
Some Whe2 information is already publicly available and can be accessed without submitting a formal PAIA request. This may include:
- Website content and product pages
- Legal notices, including the Privacy Policy and Terms and Conditions
- Contact details published on official Whe2 platforms
6. Categories of records held by Whe2
Depending on the nature of our operations, Whe2 may hold records in categories such as:
- Company and corporate records
- Customer account and support records
- Operational records relating to route planning, saved trips, and product usage
- Contracts and service-provider records
- Financial, tax, and accounting records
- Legal, compliance, and security records
- Human resources records, if applicable
Not all records will necessarily be available in every case. Access remains subject to PAIA and any lawful grounds for refusal.
7. How to request access to records
To request access to a record, send a written request to the Information Officer or the legal contact listed above. Your request should include enough detail to help us identify the record you are seeking.
- Your full name and contact details
- A description of the record requested
- The right you are seeking to exercise or protect, where required
- The format in which you would like access, if applicable
Where a prescribed PAIA request form is required, it should be completed and submitted together with any applicable supporting information.
8. Fees and response timing
Whe2 may charge request fees, access fees, or reproduction fees where permitted by PAIA. If a fee is payable, we will let you know before processing the request further.
We will respond within the timeframe required by PAIA, subject to any lawful extensions.
9. Grounds for refusal
Access to records may be refused where PAIA permits refusal, including where disclosure would:
- Unreasonably disclose personal information of a third party
- Reveal confidential commercial information
- Compromise safety, security, or legal privilege
- Interfere with legal proceedings or lawful investigations
10. Contact and complaints
If you are not satisfied with the outcome of a request or response, you may raise the matter with Whe2 through legal@whe2.com and, where applicable, with the Information Regulator.
